The Barry P. Bonvillain Civic Center reserves the right to allocate rental space in the best overall interest of the Center. The following considerations serve as guidelines for the leasing of available inventory.
- Potential event revenue to the facility
- Economic impact of out-of-town visitor spending
- Volume accounts, including the opportunity for repeat bookings
- Events of significant prominence which would enhance the visibility of Terrebonne Parish and the Barry P. Bonvillain Civic Center.
- Event or producer performance history
- Safety or security concerns
If deemed in the best interest of the facility, the Director may grant limited date protection to clients to avoid competing events from being held within an adjacent or conflicting time frame. The determination of whether or not an event is a “competing event” shall be within the discretion of the Director, and shall be based on factors such as overlapping exhibitor or attendee audiences.
The Director reserves the right to refuse a new reservation, or release an existing reservation, based upon past performance of the user, or actions which are detrimental to the best interest of the facility, or violate facility policies and procedures.
For new or non-established facility users, the facility may require references from prior venues as part of the booking process.
No Authorized User Facility Agreements will be issued for ticketed events within a 60 day period prior to the event day.
Promoters of such events must provide a specific list of artists or entertainers at the time of booking. Any substitution of performers without written approval from the Director may result in the cancellation of the event, and the forfeiture of rental payments.
USER must submit written notice of cancellation to the Barry P. Bovillain Civic Center in conjunction with the cancellation of any date or dates covered by this agreement. If USER cancels event within 180 days prior to date under this agreement in Hall A and/or B and/or parking lot and within 90 days for Meeting Room Wing events under this agreement, USER shall be responsible for all loss of rental fees with ancillary income and/or fees scheduled to be received by the Barry P. Bonvillain Civic Center in connection with such event.
Rates include normal lighting, temperature control, standard set up, event coordination, and reasonable janitorial services. Rates do not include staffing, equipment, box office, advertising, catering, or special services requested or required. Contact the Event Services Department for more information on these services.
The rental fees listed throughout this document are further supplemented by a list of service charges and equipment fees (subject to change) which are available from the Event Services Department. Estimates for special labor requirements, stagehand labor and production needs are available upon request.
All use of the Barry P. Bonvillain Civic Center shall be permitted only after proper execution of the rental/lease contract (Authorized User Contract Agreement). The Lessee is required to furnish, in an acceptable manner, any information requested by Civic Center management as to required facilities, special arrangements, special services, and equipment required for the appropriate presentation of the event in question.
A deposit of not less than 50% of total rental fees will be due upon the execution of an Authorized User Contract Agreement. Deposits requested with any lease agreement shall be remitted at the time and in the form as prescribed by Civic Center Management, and in the event of non-payment of said required deposits, or expiration of those dates originally determined for execution of an agreement, the Civic Center management may consider such tentative agreements invalid, thus vacating the originally requested date.
Security staffing for such events will be determined at the time of booking. The event organizer will be financially responsible for ensuring that minimum staffing levels necessary to provide a safe patron environment are maintained. Full payment of anticipated security costs will be no later than two weeks prior to the event day. Failure to meet this deadline may result in the cancellation of the event and the forfeiture of rental payments.
An Authorized User Contract Agreement must be fully executed, and rental deposit must be received by the Barry P. Bonvillain Civic Center prior to marketing/advertising of the event.
Detailed information as to normal rental procedures and other aspects of facility usage are encompassed in the “Rental Operations Manual” available upon request from the booking department.
